Concurrent and Poster Presenters

BRIEFING NOTES

The Organising Committee welcomes your contribution to the 6th Health Services & Policy Research Conference.  In order to ensure your presentation runs smoothly, a number of services and facilities will be provided for you. Please take the time to read these briefing notes ahead of the conference to assist in ensuring your presentation runs smoothly.
Please visit the registration desk when you first arrive at the conference to collect your name badge and other related materials. From there you will be directed to the Speaker’s Preparation Room where you will need to check in with the audio visual technicians.

SESSION DETAILS
Please visit the conference website well ahead of time to confirm details of your session within the conference program. The program is subject to change so please ensure you check any changes on the noticeboard onsite.

TIME ALLOTTED
Please check the conference program to confirm your session time and the time allocated for your presentation. In the interest of fairness, please ensure that you keep to your allotted time frame. Please also factor in question time in the time allocated to you.
The chair will time your presentation and provide you with a warning at 2 minutes remaining and when time is up. You may like to rehearse your presentation with slides in advance to ensure your presentation fits within the allotted time.

POSTER SIZE
Due to poster board restrictions your poster cannot be larger 120cm high x 100cm wide.

POSTER SETUP
Posters will need to be setup in plaza foyer by 10.45am on Wednesday 25 November and removed by 11.00am on Friday 27 November.  Poster board numbers will be displayed on all poster boards.  When setting up your poster please look for your board number.
Please be aware that it is your responsibility to place and remove your poster. The conference organisers will not be responsible for posters left behind at the end of the conference.

SPEAKERS' PRESENTATION CENTRE
The Speakers' Presentation Centre will be located in Meeting Room 10 and will operate at similar times to the registration desk.  All speakers must take their presentation to the speaker preparation room a minimum of four hours prior to their presentation, or the day before if presenting at a morning session. Speakers are also requested to assemble in their session room ten minutes before the commencement of the session, to meet with their session coordinator and to familiarise yourself with the room and the audio visual equipment.

AUDIO VISUAL EQUIPMENT
A lectern, lectern microphone, data projector, projection screen and laptop with Microsoft PowerPoint software will be provided in each presentation room. Please advise if you have any additional audiovisual requirements (e.g. internet connection, lapel microphone, Macintosh compatible computer or alternative software).

POWERPOINT PRESENTATIONS
Please send any PowerPoint slides you will use during your presentation to conference@conlog.com.au by 1.00pm on Monday 23 November 2009.  Please note there is a 5MB limit for emails.  If you are unable to email your presentation please ensure you deliver your presentation on USB or CD to the Speakers Preparation Centre at least 3 hours prior to the start of your session.  It is strongly recommended that ALL speakers bring a backup copy of their presentation on CD or USB to the Conference. 

PROCEEDINGS
All speakers PowerPoint Presentations will be published on the conference website after the conference.  We ask all speakers to provide permission for their PowerPoint presentation to be published. The Consent to Publish Form can be downloaded from the conference website.

SPEAKER PROCEDURES

PRINTING AND HANDOUTS
The Brisbane Convention and Exhibition Centre have a small printer for the use of presenters. It must be noted that this is for the exclusive use of the presenters and any large-scale printing will have to be organised through the main reception desk. Anything over 200 pages will be charged at 10c a page.
